User Research: Understanding Employee Needs & Tool Ecosystems
To determine which features would bring the highest value to an integrated portal, I conducted in-depth qualitative user interviews with internal employees across various departments.
Key Focus Areas:
Daily Workflows: How employees navigate their daily tasks starting from opening their inbox.
Tool Usage: Identifying which external software and tools employees frequently used to supplement gaps in the legacy mail client.
Feature Prioritization: Pinpointing which core utilities (e.g., calendar integration, task management, quick approvals) were most urgently needed in a centralized dashboard.
Key Insights:
High Context Switching: Employees spent significant time jumping between email, calendar software, and task managers, breaking deep work flow.
Desire for Centralization: Users expressed a strong need for an all-in-one portal to view schedules, action items, and key communications at a glance.
Workflow Continuity: Users needed seamless transitions—such as turning an email directly into a scheduled task or event without switching tools.
